Event Planning Specialist

The Calgary Jewish Academy is excited to announce an opening for an Event Planning Specialist!
This fractional role will be a 15 – 20 hour per month role, depending on the time of year.

Duties and Responsibilities:

  • Plan and execute special events that advance the school’s mission and strengthen
    relationships with key stakeholders, such as fundraising galas, open houses, and donor
    appreciation events.
  • Work closely with staff, especially Marketing and Communications Specialist, and
    Community and Advancement Director to support school assemblies and Student Council
    initiatives.
  • Work closely with vendors, volunteers, and staff to ensure the success of each event.

General Responsibilities:

  • Attend work on all operational days as per your schedule.
  • Be present at the CJA during assigned hours.
  • Maintain a positive and friendly attitude.
  • Uphold confidentiality and professionalism.
  • Participate in in-service and staff meetings as required, including outside regular school
    hours.

Specific Event Responsibilities:

  • Grandparents/Grandpals’ Day: Organize and lead the annual event, ensuring a memorable
    experience for attendees. Handle all logistics, including invitations, programming, and day-of-event management.
  • Hanukkah: Support the planning and execution of the annual Latke Lunch event.
    Coordinate and send invitations to key guests, and attend the event to ensure it is well-organized and meaningful.
  • Annual Siddur Ceremony and Chaggigat HaTorah: Manage donor relations for these
    significant Jewish lifecycle events. Coordinate dates, purchases, and serve as a liaison for
    the donors during the events.
  • Year End Gala: Organize and lead the annual event, handling the program, the logistics,
    manage RSVPs, and ensure smooth execution with contingency plans. Post-event, following
    up with attendees and evaluate the event’s success.
